How the Compliance Points in the Audits are weighted

Each Compliance Point is assigned a Risk-based Compliance Ranking and scored accordingly.

 

Critical Non-Conformity

  • Points awarded if Compliant: 10
  • Non-conformity classification: Critical Fail
  • Non-conformity description: An issue identified that is an imminent risk, legal breach, or could result in a potential prosecution
  • Timescale for resolution: 2 days
  • Example: No allergen info, fire alarm disabled, fuel spill unreported

Major Non-Conformity

  • Points awarded if Compliant: 5
  • Non-conformity classification: Major Fail
  • Non-conformity description: A visit by an enforcing officer could result in service of an improvement notice.
  • Timescale for resolution:  7 days
  • Example: Unsafe work at height, blocked fire exit, poor temperature control

Minor Non-Conformity

  • Points awarded if Compliant: 2
  • Non-conformity classification: Minor Fail
  • Non-conformity description: Contravention of legal requirements and/or industry standards and/or company policy and/or insurance requirements.
  • Timescale for resolution: 30 days
  • Example: Dirty cleaning equipment, unlabeled mop bucket

Observation

  • Points awarded if Compliant: 1
  • Non-conformity classification: Observation
  • Non-conformity description: Minor contravention or infringement of legal requirements, industry standards, company policy or insurance requirements.
  • Timescale for resolution: 60 days
  • Example: Slight clutter, outdated poster, unclear signage

Appeals Process

When You Can Appeal an Audit Finding

 

We want to keep the process fair but focused. You can only appeal a finding if:-

  • You believe it is factually incorrect, such as being recorded under the wrong compliance point or marked as missing when it was in fact present.
  • There were exceptional circumstances that genuinely explain the non-compliance.(This will still need to be supported by clear documentation.)

What you can’t appeal:

  • The audit photos clearly support the finding.

  • The evidence was actually on site at the time of the audit, but could not be located by the person in charge (for example, certificates or records were present but staff did not know where they were).

  • It is an issue that was already noted in previous audits and has still not been resolved.

  • You simply disagree with the audit scoring or company standards.

  • You do not have documents or other evidence to support your case.

 

How It Works

  • Appeals must be submitted within 5 working days of receiving your audit.
  • We’ll review and respond within 5 working days.- If we need more info, you’ll get 3 extra working days to provide it.
  • We’ll then confirm if the finding is changed or stands.
  • If upheld, your audit score and report will be updated within 5 days.

Tip: Always have your records ready and up-to-date – it’s the easiest way to avoid needing an appeal at all
